Receptionist/Office Assistant
The Office Assistant provides regular clerical and administrative support to Chief Professional Officer and Office staff; prepares correspondence letters and reports; completes data entry activities; answers telephones and maintains electronic and hard copy files. Will also help with Special Events and Resource Development activities through data entry, event set up, correspondence letters/emails and other duties as assigned.

Essential Duties and Responsibilities:
- Perform regular secretarial duties, preparing correspondence and reports as requested and composes draft letters following established formats. Proofread all materials for accuracy prior to supervisory review and signature.
- Help maintain master schedule of Club activities and events, and disseminating information to Club staff, volunteers, members and families as instructed.
- Answer telephones, providing general information, referring callers to other staff or taking messages as necessary.
- Maintain electronic and hard copy filing systems, making sure they are accurate and timely and facilitate easy retrieval of information.
- Monitor office supply inventory and place a purchase request for supplies as necessary.
- Monitor supply of Club paperwork and make copies when necessary to maintain proper inventory.
- Complete data entry work as required to maintain member tracking software information.
- Provide assistance using independent judgment to determine requests that require priority attention; prioritize, channel, and facilitate communication from Clubhouses, Board Members, and any outside contacts.
- Assist with Human Resources tasks including, creating letters, processing background checks and filing paperwork.
- Gather and copy all requests that are submitted by Program Staff to enable them to effectively run various programs at their respective Clubs.
- Assist with handling incoming and outgoing mail, including UPS, Fed Ex, and the USPS.
- Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.
- Work with other Niagara Falls Boys & Girls Club staff to ensure the smooth operation of special events.
Qualifications:
- High School Diploma or equivalent required. Associate’s Degree in Business or an equivalent amount of administrative experience required.
- High degree of communication and interpersonal skills, both verbal and written in interaction with others, as well as detail oriented.
- Ability to multi-task as well as excellent calendar management skills, including the coordination of complex executive meetings.
- Must be proficient in Microsoft Office, including Word, Excel, PowerPoint, Outlook, and Publisher.
- Previous supervisory experience requires, as well as the ability to work independently and identify process improvements.
